Turn capabilities on and off

What this workspace does: one switch per capability, why a row can be locked, and what switching something off stops and keeps.

What this workspace does is the list of everything a workspace can use, with one switch for each. Your plan decides what the organization may have; this list decides what this workspace actually uses. Turn on what the workspace needs and leave the rest out of the way: switching something off hides it and stops it, and deletes nothing.

Only admins change what a workspace does. A capability your plan does not include cannot be switched on until the plan has it.

Where to find it

Open Settings → General and scroll to What this workspace does. The capabilities are grouped in six families, in this order: Collecting, Reaching people, Participants, Intelligence, Acting on it and Platform.

What this workspace does: one switch per capability, grouped by family.

The template you chose when you created the workspace set the first switches: a Forms workspace starts with analytics and campaigns off, a Customer satisfaction workspace without the daily check-in. Everything the template did not decide starts on, as far as your plan allows.

Three layers decide

A capability is available in a workspace only when three answers are yes. Each is asked in a different place.

  • Polzy. Whether the capability exists at all. Something still being built shows Coming soon and has no switch.
  • Your plan. Whether the organization pays for it, under Organization settings → Billing. A capability your plan does not include shows the plan that has it, such as Business, with Upgrade.
  • This workspace. Whether this workspace uses it: the switch on this page.
All three must say yes: Polzy offers it, your plan includes it, and the workspace has it switched on.

Each workspace has its own switches. Turning daily check-ins off in your employee workspace changes nothing in your customer workspace.

Turn a capability on or off

  1. Find the capability in its family.
  2. Click its switch. The change applies straight away, for everyone in the workspace.
  3. For Safety signals, Polzy asks first; see Safety signals need a confirmation.

When a capability is off:

  • It is hidden or locked. Its pages, menu rows and buttons show Switched off. People who try it read that it is switched off for this workspace; admins also get Turn it on in settings →, which brings them back to its row here, highlighted.
  • It stops. The server refuses it too, whatever the screen shows, and background work stops with it: a workflow does not run with Run workflows off, and a people sync does not run with People sync off.
  • Nothing is deleted. Surveys, answers, actions, conversations and settings stay as they were. Switch it back on and everything is where you left it.

Every change is recorded in the audit log, on Enterprise, with who made it.

AI features, under Ask Polzy and AI on the same page, turns every AI capability off at once: AI survey drafting, AI campaign insights, AI scoring, AI insights, Generated reports, Ask Polzy and Extended thinking. While it is off, those rows read as off here.

A locked row

A row that names a plan instead of a switch is a capability your plan does not include. Hover the plan to read what the capability does and which plan has it; Upgrade opens the upgrade flow for it.

A capability your plan does not include shows the plan that has it, and Upgrade.

Upgrading turns it on in every workspace that has not switched it off. If your organization later moves to a plan without it, what it made stays: for example a logo a workspace already has stays on its surveys, but a new one cannot be uploaded.

Safety signals need a confirmation

Switching Safety signals off means comments describing a risk to somebody's safety, such as self-harm, violence or abuse, are no longer read, and nobody is told about them. So Polzy asks first, under Switch off safety signals?, and only I understand, switch off goes ahead. The change is recorded with your name.

Switching safety signals off needs an explicit confirmation.

A works council can decide it should be off, and that is why the switch exists. Safety signals explains what they do.

Single sign-on and SCIM provisioning are not in this list: they belong to the whole organization, so no workspace can switch them off for itself. The Owner sets them up under Organization settings → Security; see Single sign-on.

Good to know

  • Workflows or Run workflows? Workflows lets you build them; Run workflows lets them actually run. With only the first, workflows stay drafts.
  • Who notices a change? Everyone in the workspace. The server applies it straight away; a page someone already has open locks the next time it loads, and Ask Polzy stops offering what the workspace no longer uses.
  • Can an Editor or a Viewer change this? No. Only admins open Settings; everyone else meets the result. The server also refuses to switch on a capability the plan does not include, even from a script.
