Workflows: let Polzy handle what repeats
Automate the follow-up: open actions on low scores, thank people, send a digest, and pass work to your tracker.

What a workflow is
A workflow is a trigger followed by steps. When the trigger happens — an answer arrives, a score falls, a date comes round — the steps run on their own.
Workflows are on Team and up, and admins build them under Workflows. Every workflow starts as a draft, and nothing runs until you switch it on.
Start one
There are three ways in, all on Workflows.
- Click Browse recipes, pick one and click Use recipe. It is copied as a draft you can change.
- Or click Build with Polzy and say what should happen. Polzy draws the workflow for you to check.
- Or click New workflow and build it yourself, step by step.
When it looks right, switch it on.
Recipes to start from
Each recipe is a working workflow you can use as it is, or change first.
- Escalate low scores. When an answer scores under 40, open an action for the person's manager, due in three days.
- Follow up on low scores. A day after a low score, the manager starts a conversation — even when the answer was anonymous.
- Thank people who answered. A short thank-you by email to everyone who answers.
- Weekly comments digest. Every Monday morning, the admins get a summary of the week's comments.
- Close the loop. Tell the person who raised something when the action about it is done.
Two more: Check in with new people a month after they join, and Post tool complaints to Slack, without the person's name or words.
Triggers and steps
A workflow starts from one trigger: Survey response, Score threshold, Campaign finished, On a schedule, Action item event, Person joins or leaves, Safety signal, Connector event or Incoming webhook.
Then add steps: conditions and filters, waits, AI steps that classify or summarise text, and steps that do something — Create action item, Notify, Send message or Start conversation.

Send work to Jira, Linear or Asana
On Business and up, a workflow can pass an action to your tracker. Connect the tool under Integrations, then add a Connector action step after Create action item.
The new issue is linked to the action under Tracked in. When the issue is closed in the tracker, Polzy marks the action Done.
Watch it run
Every run is listed on the workflow's Runs tab, with its result, the path it took and the AI tokens it used. If a run fails, the admins see it in their notifications. On the workflow's Settings tab, you can ask to be emailed as well.
Team includes 5 active workflows and 500 runs a month; Business, 25 and 2,000.
Signed-in members can ask Polzy or message the team from Support. How fast we reply depends on your plan.
