Run a campaign, start to finish

Pick a survey, choose who gets it and when, send it on the right channel, and follow the answers in.

Set it up

A campaign sends one survey to a group of people and keeps track of who has answered. The survey holds the questions; the campaign holds the who, the when and the how.

Open Campaigns and click New campaign. The editor has five tabs — Setup, Schedule, Audience, Delivery and Automations — and a sentence above them that reads the campaign back to you.

  • Survey. Pick a published survey. Drafts are not offered.
  • Purpose. Wellbeing answers count towards your scores and trends. Decision is one-off feedback for a choice, and stays out of them.
  • Whose name the answer carries. The person's, or nobody's (Business and up). An answer given anonymously stays anonymous for good.
  • Response target. The share of people you aim to hear from, 60% by default.

Choose when it sends

On Schedule, pick the Trigger. There are six, for one-off sends, a steady rhythm or a moment in someone's journey.

  • Immediate or Scheduled. As soon as you launch, or at a date and time you pick.
  • Recurring. Daily, weekly, monthly, quarterly or yearly — or a cron expression. This is how a pulse runs.
  • On a date. Before or after a date each person has, such as a start date.
  • When someone joins or changes. When a person is added, or when one of their fields changes.
  • When an event happens (Team and up). After something happens in a connected system, such as a Shopify order.

Reminders and sending hours

Click Add reminder and choose the day after the invitation it goes out, up to five per campaign. Reminders only reach people who were sent the invitation and have not answered yet.

Sending hours keep messages to working days, between 09:00 and 17:00 by default, in the workspace's time zone.

Two workspace rules sit on top, under Settings → Notifications. Respect quiet hours holds messages between 20:00 and 08:00 in each person's time zone. Cap reminders per person sends at most two reminders per survey. Both are on by default.

Who gets it, and how

On Audience, choose Everyone — every active person who has not unsubscribed — or Some people, narrowed by your fields. Named people narrows it further, to the people you name who also match.

On Delivery, choose one channel. Email works on every plan; SMS, WhatsApp and Slack are on Business and up. Pick a Template for the message, or the built-in wording is used.

Launch and follow it

The Before you launch list ticks off a name, a survey, at least one person and a channel. Then click Launch. An immediate campaign sends at once; the other triggers wait for their moment.

Open the campaign to follow it. Overview shows how many invitations were sent, delivered and answered, and where people dropped off. Recipients lists everyone's status, with Remind for those who have not answered.

A campaign under its response target three days after the first send reads Low response. It completes on its own when its end date passes; the switch at the top pauses it in the meantime.

The report at the end

On Business and up, Polzy can write a report when the campaign closes. Switch on Write the report when the campaign closes on Setup, and choose who it is sent to.

The report sums up what people said: the main findings, strengths, concerns and recommended next steps. It opens under Analytics → Reports, and the campaign's owner gets an action to review it.
