Workspace settings: General and Branding
Every setting on a workspace's General and Branding tabs: its name, audience, Polzy memory, language, time zone, health checks, logo, colour, sender name, export and deletion.
On this page
A workspace's settings change that workspace alone; every other workspace in your organization keeps its own. This article walks through the General and Branding tabs, setting by setting. The other tabs have articles of their own.
Workspace settings are for admins. Uploading a logo, choosing a colour of your own and hiding "Powered by Polzy" are on Team and up.
Open the settings
Click Settings in the sidebar, or open the workspace menu at the top of the sidebar and choose Workspace settings. The page is headed Workspace settings, with the workspace's name under it, and has five tabs.
| Tab | What it holds | Article |
|---|---|---|
| General | The workspace, its health, privacy and data, what it does, Ask Polzy and AI, export and deletion | This article |
| Branding | Logo, colour, icon, "Powered by Polzy", sender name and address | This article |
| Notifications | Your alerts, quiet hours, the reminder cap and the channels | Channels |
| Safety signals | Who reviews comments that describe a risk to someone | Safety signal settings |
| API | API keys and webhooks, on Team and up | API keys |
Changes save as you make them: a text field when you leave it, a choice or a switch at once. There is no Save button.
The organization's settings, such as members, security and billing, are elsewhere: under Organization settings in the account menu. See Workspaces and your organization.
General: the workspace
The first group, Workspace, holds the workspace's name, its audience and its regional defaults.
| Setting | What it does | Default |
|---|---|---|
| Workspace name | Shown to respondents and in emails. It cannot be empty. | The name it was created with |
| Audience | Who this workspace asks, in its own word, such as "Employees" or "Customers". It sets the wording Polzy uses in surveys and reports. | Set by the template |
| Polzy memory | What Polzy should know about this workspace before anyone asks anything. | What you wrote when you created it |
| Default language | The language Polzy writes workflow summaries in. Each survey sets its own language, and each person their own. | English |
| Time zone | Used for sends, reminders and quiet hours. | UTC |
| Week starts on | Monday or Sunday. Calendars and weekly figures start on this day. | Monday |
- Change with Polzy. The audience is the workspace's vocabulary, so it is not a list to pick from. Change with Polzy, beside it, opens Ask Polzy with "I want to change who this workspace is for." Polzy proposes what should change with it, such as words, fields and themes, and asks before it changes anything. It shows when Ask Polzy is on in this workspace.
- Polzy memory. A few sentences, up to 1,500 characters: who you ask, what you want to learn, the words you use. It is saved when you leave the field, and you can also edit it from Ask Polzy. Polzy reads it only in conversations with admins and when it designs the workspace; it never goes into anything an Editor, a Viewer or a respondent reads.
- Time zone. Recurring sends, reminders, sending hours and quiet hours run on this clock, whoever set them up, and exported dates are written in it.
Workspace health
Beside the General tab, Workspace health checks four things and shows how many pass: the privacy floor, how long answers are kept, whether the workspace has at least two admins, and whether setup is finished. While setup is open, Continue with Polzy takes you back to it. Workspace health, banners and My feed explains each check.
Privacy and data
Minimum group size is the smallest group results are ever shown for: from 3 to 50, 5 unless you choose another. Keep answers for deletes older answers every night: 6, 12, 24 or 36 months, or Keep them. Below them, Keep sent messages and seven more periods set how long everything else is kept, from unfinished answers to Ask Polzy chats and closed support tickets.
Shortening how long answers are kept first tells you how many answers would be deleted, and asks you to confirm. How the minimum group size works and How long data is kept explain every setting in this group.
What this workspace does
One switch for each capability the workspace can use, in six families: Collecting, Reaching people, Participants, Intelligence, Acting on it and Platform. A capability your plan does not include shows the plan that has it. See Turn capabilities on and off.
Ask Polzy and AI
- AI features. Survey drafting, response summaries and the assistant. Switched off, every AI surface in the workspace is hidden and no model is called.
- Model. Which model answers.
- Monthly credits. The plan's AI credits, shared by every workspace of the organization.
- Use our own model key. On Enterprise, bring an Anthropic, OpenAI or Azure key. Usage is then billed by them and spends no Polzy credits.
AI insights covers credits, models and your own key in full.
Export your data
Export all data prepares one zip of everything your organization holds: every survey's answers, the survey and campaign lists, participants and comments, one folder per workspace. The Owner's export covers every workspace; an admin's covers the workspaces they manage.
- Click Export all data. The row shows Preparing. You can leave the page.
- When it is ready, you are told, and the row shows Ready with the date and size.
- Click Download. The zip is kept for 7 days; Export again prepares a new one.
One export at a time can be prepared for an organization. Cancel and export your data says what each file holds.
Danger zone
Delete workspace makes the workspace read-only at once and deletes everything in it for good after 14 days.
- Click Delete workspace.
- Type the workspace's name exactly as shown, and confirm. Its admins are emailed.
- Until the date shown, the workspace opens and exports, but sends nothing and its surveys take no answers. Keep this workspace cancels the deletion and puts everything back as it was.
The organization's only workspace cannot be deleted here. To remove it, the Owner closes the organization under Organization settings → General.
Branding: look and feel
The Look and feel group sets how surveys, emails and this workspace look.
| Setting | What it does | Plan |
|---|---|---|
| Logo | On every survey that uses the workspace logo, and in invitations. PNG or JPEG, at least 128 px wide. An SVG shows in the app and on surveys, but not in email: emails then carry Polzy's logo. | Team and up |
| Brand colour | One of eight colours, or a colour of your own. It paints this workspace's interface and is the colour new surveys start in; a survey you already made keeps its colour. | Every plan; your own colour on Team and up |
| Workspace icon | Its mark in the workspace menu, beside the brand colour, so you can tell workspaces apart at a glance. | Every plan |
| Show “Powered by Polzy” on surveys | The small badge at the end of each survey page. Switched off here, no survey in the workspace shows it; a single survey can also hide it in its own Styling tab. | Team and up |
- Upload logo, Replace logo, Remove. Upload logo adds one; once there is one, Replace logo and Remove show beside it.
- Below Team. A logo the workspace already has stays, and Remove still works; uploading a new one, or hiding the badge, needs Team. The row shows the plan and Upgrade.
Brand a survey covers a survey's own colours, fonts and logo.
Branding: the brand colour
The brand colour is this workspace's own colour. It paints the workspace's interface, its buttons and highlights, in light and dark mode, and every new survey wears it on its buttons and progress bar. Each workspace has its own, so the colour also tells you at a glance which one you are in.
- Open Settings → Branding.
- In Brand colour, click one of the eight colours, or the colour wheel at the end of the row for a colour of your own.
- On the colour wheel, choose the colour in the picker that opens. The interface changes as you drag, and the colour is saved once you stop.
| Option | What it does | Plan |
|---|---|---|
| The eight colours | Lime, Polzy's own, then Violet, Blue, Mint, Amber, Coral, Teal and Rose. Each is checked for readable text in light and dark mode. | Every plan |
| Custom colour | Any colour, such as your company's. Polzy works out readable text, hover and background shades from it, in light and dark mode. | Team and up |
- New surveys. Every survey created from now on starts in the brand colour. A survey you already made keeps the colour it was given; change it in that survey's Styling tab.
- Below Team. A colour of your own is Custom branding, like the logo and hiding "Powered by Polzy". A workspace whose plan no longer includes it keeps the custom colour it has, but cannot choose a new one. The eight colours stay open on every plan: choosing one replaces the custom colour.
On 1 November 2026 the colours became more vibrant: Polzy's green is now a bright lime, and the seven others are brighter versions of the same hues. Every workspace and its surveys moved to the new shade of the colour they had. Sage is now called Mint, and Terracotta is Coral.
Branding: email and address
The Email and address group sets who invitations come from, and where the workspace opens.
| Setting | What it does |
|---|---|
| Sender name | The name people see in their inbox, up to 120 characters. Left empty, it is the workspace's name. |
| Reply-to address | Where replies to an invitation go, such as a team inbox somebody reads. |
| Workspace address | Where this workspace opens, such as app.polzy.ai/acme-customers. Share it with your team; the copy button beside it copies it. It cannot be changed. |
| Custom domain | Sending surveys from your own address, such as feedback.acme.com. It is not available yet, and the row says Coming soon. |
The sender name and reply-to address apply to every email the workspace sends, through Polzy or through your own email provider.
How invitations look
Beside the Branding tab, How invitations look draws an invitation as it will arrive, and updates as you change the settings: your logo, From and your sender name, and the button in your brand colour. Under it, three checks say what is still missing: No logo yet, Sender name not set and No reply-to address.
Troubleshooting
- My logo shows in the app but not in emails. It is an SVG, which mail apps do not draw. Upload a PNG or JPEG of the same logo.
- The Logo row shows a plan and Upgrade. Your plan is below Team. If it shows Switched off instead, Custom branding is switched off under What this workspace does: Turn it on in settings → takes you there.
- The colour wheel beside the eight colours shows a lock. Your plan is below Team, or Custom branding is switched off under What this workspace does. Hover it to see which, and click it for the way to the plan or to that switch. The eight colours can be chosen on every plan.
- This workspace is scheduled for deletion and is read-only. Cancel the deletion in Settings to change it. Click Keep this workspace in the Danger zone to cancel it.
- Delete workspace is greyed out. It is the organization's only workspace. The Owner closes the organization under Organization settings → General instead.
- Someone in your organization is preparing an export. You can ask for yours once it is done. One export at a time; try again when it is ready.
- I don't see Settings in the sidebar. Settings are for admins. Editors and Viewers set their own language and notifications under their account instead.
