Actions: from insight to done
Turn what people told you into work that somebody owns, and follow it through until it is done.
Where actions come from
An action is a piece of work with an owner and a date. Most start from something people said, so you can always trace one back to the answers behind it.
- From a finding. Create action on an insight creates one at once, assigned to you.
- From a heatmap cell. Create action opens a form already filled in with the theme and the group (Business and up).
- From a comment, a conversation or a person's record. Wherever you read what someone said.
- From a workflow. For example, one that opens an action when a score falls under a level you set (Team and up).
- From scratch. Click New action on Actions.
Actions are on Solo and up.
Write one
Click New action and fill in What needs doing. Add Details, a Priority and, if you like, the Theme it should move.
Choose who it is Assigned to and when it is Due, then click Create action. The person it is assigned to is told in the app and by email.
Follow it through
The Board shows every action by stage: Backlog, In progress, Waiting on someone and Done. Drag a card to move it on.
The List groups actions by date: Overdue, This week, Later, then Done and Archived. Use Only mine to see your own, or Suggested by Polzy for the ones Polzy opened.
Overdue actions show in a banner on Actions and in Listening health on the Dashboard, so nothing slips quietly.
Inside an action
Open an action to work on it. Beside the details are its owner and stage, a Checklist, tags, comments for the people involved, and the activity so far.
- Score to watch. Pick the score the action should move and a target, so you can tell whether it worked.
- Tracked in. When a workflow sends the action to Jira, Linear or Asana, the issue is linked here. Closing it there marks the action Done.
Who sees what
Admins see every action. Managers see their own and their reporting line's. Everyone else sees the actions assigned to them, under My actions and in My feed.
An action that came from a safety signal is seen only by the person it is assigned to and the signal's reviewers.
Close the loop. The Close the loop workflow recipe tells the person who raised something when the action about it is done. Workflows shows how.
