Set up your workspace, step by step

The eight parts of a new workspace, in order: purpose, people, themes, a survey, a rhythm, channels, privacy and follow-up.

The workspace plan

A new workspace opens on Set up with Polzy: a conversation on the left, and the Workspace plan on the right. You can come back to it any time from the workspace menu at the top of the sidebar.

The plan has eight parts. Each is ticked only when what it describes really exists in the workspace — Polzy checks, rather than taking your word for it.

  • Change with Polzy. Talk a part through in the conversation. Polzy proposes the change and asks before it makes it.
  • Edit. Opens the page where that part lives, to do it yourself.
  • Skip. For a part that does not apply. It counts as done, and Undo skip brings it back.

This article walks through the parts in order. The Get started guide is the short version.

Purpose and audience

Purpose is what the workspace is for, in a sentence or two. Polzy keeps it as its Polzy memory and reads it before every answer, so its suggestions fit. Change it later under Settings → General.

Audience is the people you will ask. Add contacts one by one, or connect your HR system or shop to keep them in sync. People, contacts and fields covers both.

Themes and the first survey

Themes are what answers are scored against — workload, onboarding, delivery. Your workspace starts with themes that suit its audience; manage them under Surveys → Themes (Solo and up).

Survey is ticked once the workspace has a survey. It may already hold drafts to edit, or Polzy can draft one with you. Send your first survey shows the builder.

Rhythm and channels

Rhythm is ticked by your first campaign. A recurring campaign asks on a schedule, so nobody has to remember to — see Run a campaign, start to finish.

Channels is where people answer. Email works from the start, without any setup. The part is ticked when you connect a channel or your own email provider under Integrations; if email from Polzy is enough, skip it.

Privacy

Under Settings → General → Privacy and data, choose the Minimum group size: the smallest group results are ever shown for. Saving it, even at the default of 5, ticks Privacy.

On the same page, Keep answers for sets how long answers are kept. Whether answers carry a name is chosen per campaign.

Tell people what you promise. Results never show a group below the minimum, so people can answer honestly. How the minimum group size works.

Follow-up, and the rest

Follow-up is what happens when a score is low. It is ticked by your first workflow, such as the Escalate low scores recipe (Team and up). See Workflows.

When the plan is done, a few settings are worth a look.

  • Branding. Your Logo, Brand colour and the sender name on emails.
  • Notifications. Quiet hours, the reminder cap and the channels this workspace may use.
  • Safety signals. Who reviews a comment that describes a risk to someone (Team and up).
  • Your team. Invite colleagues from Organization settings → Members.
