Integrations: connect the tools you already use
What you can connect to Polzy, which plan each needs, and how to connect, test, reconnect, disconnect or remove an integration — or ask for one we do not have yet.
On this page
Integrations connect Polzy to the tools your organization already uses: the HR system your people come from, the email and SMS accounts your messages go out through, the chat apps your team works in, and the spreadsheets, automation tools and trackers where results should end up. Each one is connected once per workspace, by an Admin, and then chosen wherever it is used.
The Integrations page is on Business and up, and only Admins can open it. On Team you still connect two kinds of integration, each on its own page: your own email sender under Messages → Integrations, and a people source under Contacts → Sync & fields.
Before you start
- A plan that includes it. Each kind of integration has its own plan; see the table below.
- The Admin role in the workspace. Editors and Viewers do not see Integrations.
- An account at the other tool with the right to create an API key, or to approve an app, there. Every article linked below says exactly what that account needs.
- One workspace at a time. Integrations belong to a workspace: a second workspace connects its own, with its own keys.
What you can connect
The Integrations page sorts integrations into categories, and each category is sold on a plan of its own.

API keys and webhook endpoints are not on the Integrations page: they are under Settings → API. Calendly and Cal.com need no connection either: a Schedule meeting question takes your booking link — see Calendly and Cal.com.
The Integrations page
Open Integrations in the sidebar, under Automate. The page answers two questions — is everything working, and what else can I connect — with two tabs:
- Connected. Everything this workspace has connected, with its state. Filter by Category and Status, or search by name.
- Available. Everything you could connect. The integrations usually connected in your kind of workspace come first, marked Recommended for you.
Each row shows the integration's logo and name, what kind it is, its state, and small labels for what it is used for in this workspace, such as Send surveys, Email delivery, Response export, Workflow steps or Create issues. Click the row, or Manage, to open the integration's own page.
A connected integration is in one of these states:
| State | What it means |
|---|---|
| Connected | It works. |
| Needs attention | Something stopped working; the reason is shown on its page. Polzy still tries it, because the next attempt may work. |
| Awaiting authorisation | You started connecting it but did not finish signing in at the provider. |
| Disconnected | You stopped using it. Its settings and history are kept. |
Connect an integration
- Click Add integration, or open the Available tab, and find the integration.
- Click Connect on its row, or open it and click Connect followed by its name.
- What happens next depends on the integration:
- A people source opens Contacts → Sync & fields, where its fields and schedule are set up too.
- An integration you sign in to, such as Slack or Google Sheets, takes you to that provider's own sign-in page. Approve Polzy there and you come back to Polzy, connected.
- Every other integration opens a setup panel. Fill in its fields under Credentials. Each says whether it is Required or Optional, with help underneath, and the bar at the top counts the required values you have filled in.
- Click Test connection to check the values with the provider without saving anything. The answer appears in the panel.
- Click Connect. Polzy checks the values with the provider again and saves them only if the provider accepts them, so an integration never shows as connected with a wrong key.
Keys and passwords are stored encrypted and never shown again. When you reopen the panel to change something, leave a secret field as it is to keep the saved value.
Stuck? Click Ask Polzy in the panel, or Set up with Polzy on the integration's page. Polzy explains where each value lives in the other tool, step by step, and can open the same form in the chat. Keys you type there go straight to Polzy's encrypted store: the assistant never sees them.
The integration's page
Click a row to open an integration's own page. Once it is connected, the top of the page shows its Status, Last sync, Events · 7 days and Errors, and, when it is not working, the reason.
The rest of the page, from top to bottom:
- Where this is used. Connecting and using are two different steps. This section lists every place the integration is put to work, with a link to each: the account and its keys (this page), the answers of a survey or campaign, a workflow step, sending messages, or importing people.
- What you will need. Every value the setup asks for, with Required or Optional, and the help for each.
- Receiving. For an integration that reports back — delivery receipts, replies, events or people updates — the address to give to the provider. It appears once the integration is connected.
- Good to know. What the integration cannot do, said before you run into it.
- Activity. Everything it did, with the outcome: messages sent, tests passed or failed, incoming messages received or refused, syncs.
- Details, Links and Alternatives. On the side: its category, how it is set up, who maintains it and who connected it; the provider's own pages; and other integrations of the same kind.
Where you choose it
Connecting gives Polzy the account. What happens with it is chosen where you use it:
- Email, SMS and WhatsApp senders, and Slack: Settings → Notifications → Channels, once for the workspace. A campaign then sends through the provider set there.
- Survey answers: the Integrations tab of a campaign, for Google Sheets, Notion, Zapier, n8n and Webhooks.
- Workflow steps: the Connectors group in the workflow builder has a step for each thing a connected integration can do, such as posting to Slack or Teams, adding a Notion page or opening a Jira issue.
- People sources: Contacts → Sync & fields.
Keep it working
Polzy checks every connected integration again about every six hours. If a check fails, or the provider withdraws access, the integration turns to Needs attention, its page says why, and the sidebar shows a count beside Integrations. The reasons are:
- The access expired or Access was withdrawn at the provider: sign in again with Reconnect.
- The last connection test failed: a key was changed or deleted at the provider. Click Configure, enter the new key and save.
- The last sync failed: see the people source's history under Contacts → Sync & fields.
- An incoming message could not be verified: a delivery receipt or reply arrived with a missing or wrong signature. Check the signing key in the integration's setup.
- Setup is not finished or Switched off by an admin: finish connecting it, or connect it again.
Now and then a working connection has to be made again once, for example when Polzy starts storing something it did not store before. The Integrations page and the integration's page then show a notice saying what happened, with a button to reconnect.
Disconnect or remove
Open the setup panel again (Configure, or the button on its row). At the bottom, under Stop using and its name, you have two choices:
| Choice | What happens |
|---|---|
| Disconnect | Polzy stops using it. Its settings and history are kept, so you can reconnect later. |
| Remove | Its configuration is deleted. To use it again, you connect it from scratch. |
A people source is changed and stopped under Contacts → Sync & fields instead.
What stops when you do: a workflow step that uses the integration fails, and a survey stops sending answers to it. A sender of your own falls back to Polzy's shared account for email, SMS and WhatsApp; Slack has no fallback, so Slack messages stop.
Request an integration
- Click Request integration at the top of the page. On the Available tab, a search that finds nothing offers to request what you typed.
- Under Which tool do you want to connect?, name the tool. Under What would you use it for?, you can say what you need it to do.
- Click Send request.
The request goes to the Polzy team as a feature request, and you can follow it under Support.
Troubleshooting
| What you see | Why, and what to do |
|---|---|
| The connection test did not pass., or the provider's own message | The provider refused the values. Check each one against the integration's article, especially the permissions of the key. |
| Authorisation was declined. | Polzy was not approved on the provider's sign-in page. Try again, or ask the person who manages apps in that tool to approve Polzy. |
| That authorisation link has expired. Please try connecting again. | The sign-in took too long or was opened twice. Start again from Connect. |
| The provider refused the connection. Please try again. | The provider did not accept the sign-in. Try again in a few minutes. |
| A notice that the integration cannot be connected on this installation yet | The provider app it signs in with has not been set up for this installation of Polzy, so nobody in the workspace can start it. Contact whoever administers Polzy for you. |
| Integrations is locked in the sidebar | Your plan does not include the Integrations page. On Team, connect your email sender under Messages → Integrations and a people source under Contacts → Sync & fields. |
Good to know
- One connection per tool. A workspace connects each integration once. A people source is one at a time: disconnect one before you connect another.
- Downgrading. An integration your plan no longer includes stops being used, and its settings are kept. Your own email sender falls back to Polzy's shared account until you upgrade again.
- Polzy's own email. Sign-in links, password resets and invoices always come from Polzy, whatever sender you connect.
