Get started with Polzy
Polzy helps you listen to a group of people over time — employees, customers, product users or event guests — and act on what they tell you. This guide takes you from a new account to your first results in six steps.

Create your workspace
Sign up at app.polzy.ai with your email, Google or Microsoft. Sign-up ends on the Workspace step, where you make your first workspace: one feedback programme with its own people, surveys, themes and results.
- Name it. Use something your team will recognise, such as the organization and the audience — "Acme — People".
- Choose who you will listen to. Employees, Customers, Product users and Event guests each start with their own themes, fields and draft surveys. Whoever you listen to, the next step lets you reshape the workspace by describing it to Polzy.
- Create it. Click Create workspace, then Open my workspace.
You can change all of this later. To run a second programme — customers next to employees, say — choose New workspace in the workspace menu at the top of the sidebar.
Finish setup with Polzy
Your workspace opens on Set up with Polzy: a conversation on the left and the workspace plan on the right. The plan has eight parts — Purpose, Audience, Themes, Survey, Rhythm, Channels, Privacy and Follow-up — and a part is ticked only when what it describes exists in the workspace.
- Answer in your own words. Say what you want to learn and from whom. Polzy proposes the audience, the survey, the rhythm and the follow-up, and asks before it changes anything. Use Edit, Skip or Change with Polzy on any part of the plan.
- Bring in your people. Add them one by one with Add contact under Contacts, or keep them in sync with BambooHR, Personio, Workday, Microsoft Entra ID, Shopify or your own API under Contacts → Sync & fields (Team and up).
- Check your fields. Department, location, plan or session — the fields you will group and compare results by. Your workspace starts with the ones that fit its audience; add your own under Contacts → Sync & fields.
- Invite your team. Colleagues who will run surveys or read results sign in as members: Organization settings → Members → Invite members. Free and Solo include one member, Team ten and Business fifty.
Left setup halfway? Choose Set up with Polzy in the workspace menu. It picks up from what the workspace already has.
Build your first survey
Open Surveys. Depending on who you listen to, your workspace may already hold draft surveys — a monthly pulse for employees, a quarterly NPS for customers — ready to edit. Or start one of your own.
- Create with Polzy (Solo and up). Say what you want to find out and who you are asking. Polzy asks a few questions back, then builds a draft for you to review. Nothing is published until you say so.
- New survey. Opens an empty survey. Click Add in the outline for any question type — rating, NPS, choices, text, ranking and more — or for a heading, image or statement.
- Link questions to themes (Solo and up). Choose a Theme on each scored question, so scores stay comparable from one survey to the next.
- Choose the layout. Under Settings → How questions are shown, pick One per page or All on one page. One per page feels like a conversation and allows AI follow-up questions; all on one page is quicker for short surveys.
Use Preview to answer it the way a respondent will, then click Publish.
Send a campaign
A campaign sends a survey to people and keeps track of who has answered. Open Campaigns, click New campaign, and work through its tabs in order.
- Setup. Pick the survey. Under Whose name the answer carries, choose whether answers carry the person's name or nobody's. Anonymous answers are on Business and up, and cannot be made named again afterwards.
- Schedule. Choose the Trigger: Immediate, Scheduled or Recurring — or, on Team and up, When an event happens in a connected system. Click Add reminder to nudge people who have not answered; Sending hours keep messages to working days and hours.
- Audience. Everyone, or Some people: narrow the audience by your fields, or name people one by one.
- Delivery. Email works on every plan, and on Team and up it can come from your own domain. SMS, WhatsApp and Slack are on Business and up; WhatsApp sends through your own Telnyx or Twilio account.
Click Launch when it is ready. To share a survey without a campaign, open it and choose Copy link.
Privacy. Results only show for groups of 5 or more people. To change that, go to Settings → General → Privacy and data → Minimum group size; it can be set from 3 to 50.
Read the results
Answers appear as they arrive. Open the survey to see its Results, or Analytics to see every survey together.
- Scores. Each theme and question is scored out of 10. On Analytics, Group by compares your fields side by side, and Compare to sets the period to measure the change against.
- Comments. Open answers in one place. On Solo and up, Polzy scores them for sentiment and links them to the themes they talk about.
- Insights (Solo and up). What Polzy noticed in the answers: each finding shows the numbers behind it, a comment that illustrates it and a Suggested next step.
- Heatmaps (Business and up). Every theme across every group, so the gaps stand out.
- Safety signals (Team and up). A comment that describes a risk to somebody's safety goes straight to the reviewers you name. Who wrote it is never shown.
Ask Polzy why. Ask Polzy is on every plan and sees the page you are on, so you can ask what changed and where without leaving the results.
Act on it
Turn what you learned into work that somebody owns, and let Polzy handle what repeats.
- Actions (Solo and up). Click Create action on an insight, a comment or a heatmap cell, or New action on Actions, and give it an owner under Assigned to and a Due date. Follow it on the Board, from Backlog to Done, or in the List, grouped by when it is due.
- Workflows (Team and up). Make something happen on its own — for example the Escalate low scores recipe, which creates an action item when a score falls under the level you set. Start from Browse recipes, Build with Polzy or New workflow.
Not sure where to start? Ask Polzy to draft the action or build the workflow with you. It proposes each change for you to accept.
Signed-in members can ask Polzy or message the team from Support. How fast we reply depends on your plan.
