Send answers to Google Sheets
Add a row to a Google Sheet for every answer a campaign receives, or from a workflow step. Connect a Google account once, then choose the sheet and tab for each campaign.
On this page
With Google Sheets connected, every answer a campaign receives becomes a new row in a spreadsheet you choose — the time, the survey, the score and one column per question — a few moments after it is given. A workflow can add rows of its own too. At the end of this guide you will have a Google account connected to your workspace, a campaign writing to its sheet, and a way to check every delivery.
Google Sheets is on Business. Only Admins can connect it and choose where a campaign's answers go.
Before you start
You need:
- A workspace on Business, and the Admin role in it.
- Integrations switched on for the workspace, under Settings → General → What this workspace does.
- A Google account that can edit the spreadsheet. Every row is written as this account, for every campaign that uses the connection, so a shared team account is often a better choice than your own.
- The spreadsheet, with a tab for the answers. An empty tab is best: Polzy writes its own header row in row 1. To let another account edit a sheet you own, share it with that account as an Editor — see Google: Share files from Google Drive.
If your organization uses Google Workspace, its admin may allow only approved apps to reach Google data. If Google refuses to let you sign in to Polzy, ask them to allow it — see Google Workspace Admin: Control which third-party apps access Google Workspace data.
How it works
- Connected once, for the workspace. One Google account is connected under Integrations. Nobody else signs in to Google again.
- Chosen per campaign. Each campaign names its own spreadsheet and tab on its Integrations tab, so two campaigns running the same survey can write to two different sheets.
- One row per answer. A finished answer is added as a row a few moments after it is given. Rows are added, never changed.
- From a workflow. The Add a row step writes any row you describe, with values from the run.
Connect your Google account
- In the sidebar, under Automate, open Integrations and choose the Available tab.
- Find Google Sheets and choose Connect. The Connect Google Sheets panel opens.
- If you like, give the connection a Connection name, such as the team that relies on it.
- Choose Connect. Google's sign-in page opens.
- Sign in with the account that can edit your spreadsheets, and allow the access Polzy asks for: your Google Sheets spreadsheets, and your email address.
- Google sends you back to the Google Sheets page in Polzy, which says Connected.
Until you finish at Google, the connection's status reads Awaiting authorisation. Polzy asks for access to your spreadsheets — rather than only to files it created — so that you can paste a link to any sheet the account can edit. It reads and writes only the sheets you name.
Choose where a campaign's answers go
- Open Campaigns, then the campaign, and its Integrations tab.
- Under Add a connection, find Google Sheets and choose Connect. If the button reads Set up, the workspace has not connected Google Sheets yet: it takes you to its page.
- In Google Sheet Link, paste the full address of the spreadsheet, as your browser shows it.
- Under Sheet Name, choose the tab. Polzy lists the spreadsheet's tabs as soon as the connected account can open the link. Left as it is, answers go to a tab called Responses, which must exist.
- Choose Save changes.
Google Sheets now appears under Connected to this campaign, with Sends to and the sheet's address. Each row there has its own controls:
| Control | What it does |
|---|---|
| The switch | Turns sending off for this campaign without forgetting the sheet. Answers given while it is off are not sent later. |
| Edit configuration (the gear) | Changes the sheet or the tab. |
| Disconnect (the bin) | Stops sending this campaign's answers and forgets the sheet, after you confirm. |
| The activity line | How many answers were sent and when the last one was, and how many failed. |
A row marked set on the survey was set on the survey itself and reaches every campaign that sends it. On the campaign you can only switch it off.
What each row contains
The first time an answer arrives, Polzy writes a header row in row 1 of the tab, then one row per answer:
| Column | What it holds |
|---|---|
| Response ID | The answer's ID in Polzy. Empty for an anonymous answer. |
| Submitted at | When the answer was finished, in UTC, such as 2026-10-31T09:12:04.000Z. For an anonymous answer, the day alone. |
| Survey | The survey's title. |
| Participant | The respondent's email address. Empty for an anonymous answer. |
| Score | The answer's overall score, if it was worked out by the time the row was sent. |
| One column per question | The answer as text. Several choices are separated by commas. |
| One column per AI follow-up | The answer to a follow-up question, headed with the question and "— follow-up". |
- Built to be edited. Polzy matches answers to columns by their header, so you can move columns, and add columns of your own beside them — Polzy leaves those empty. A header you rename counts as new: the question gets a column of its own again.
- New questions. A question added to the survey later gets a new column at the end, and earlier answers stay where they are.
- Written as typed. Answers are stored as plain text, never as formulas. The five fixed column names are always in English.
- The score may be empty. The row is sent as soon as the answer is in, without waiting for scoring, so an answer scored by AI usually arrives without its score.
Anonymous answers and privacy
An anonymous answer reaches the sheet with what it said, its score and the day it was given — no ID, no email address, no time of day and none of the person's fields. Before any answer is sent, Polzy waits for its safety reading, up to 10 minutes; an answer withheld for safety review is written as its placeholder. The privacy floor applies to grouped results, not to single answers, so every answer reaches the sheet however few there are: choose who can open it with that in mind. What an answer keeps has the details.
Add a row from a workflow
- Open Workflows and the workflow, or start a new one.
- Under Connectors in Installed steps, drag Add a row · Google Sheets onto the canvas.
- Fill in Google Sheet link and choose the Sheet name.
- In Row, type the cells separated by commas. Type
{{to insert a value from the run, such as the survey's title or the overall score.
The step leaves the number of the row it added as {{connector.row}}, for a later step. A value that itself contains a comma is split over two cells. Workflows explains triggers and steps.
Test it
- Under Integrations, open Google Sheets and choose Configure, then Test connection. It answers Connected as and the Google address.
- Answer the campaign's survey, or wait for its first answer. The row appears within a minute or so — up to 10 minutes when free text is still being read for safety.
- On the campaign's Integrations tab, the activity line counts it. On Google Sheets' own page, Activity lists each delivery as Response sent on, with Worked or Failed and Google's own words.
Stop sending, or disconnect
- For one campaign: use its switch or Disconnect on the campaign's Integrations tab.
- For the whole workspace: under Integrations, open Google Sheets, choose Configure, then Disconnect — its settings and history are kept, and nothing is sent until you reconnect — or Remove, which deletes its configuration.
- At Google: remove Polzy's access from your Google Account — see Google: Manage connections between your Google Account and third-parties. The connection then shows Needs attention in Polzy.
Troubleshooting
- Awaiting authorisation. Google's sign-in was not finished. Open the connection and choose Connect again.
- Authorisation was declined. You chose not to allow access at Google. Connect again and allow it.
- That authorisation link has expired. Please try connecting again. The sign-in took too long, or was opened twice. Start again from Polzy.
- Connect your Google account to finish setting this up. You tested before connecting. Choose Connect first.
- The Sheet Name list does not appear. The connected account cannot open that link. Check it is a Google Sheets address and that the account can edit the sheet.
- Unable to parse range (under Activity). The tab named in Sheet Name does not exist — often the default Responses. Choose an existing tab, or add one called Responses.
- The caller does not have permission. The account can see the sheet but not edit it, and the connection shows Needs attention. Share the sheet with the account as an Editor, then choose Reconnect on the connection's row under Integrations, and Save.
- Needs attention, with Access was withdrawn at the provider or The access expired. Google no longer accepts the account's access — it was removed, the password changed, or an admin policy blocks it. Choose Reconnect, then Save. If the panel answers with Google's refusal, choose Remove at its foot and connect again from the Available tab. Campaigns keep their sheets; a workflow's Add a row step needs its connector chosen again.
- Nothing sent yet. Check that the campaign's switch is on and the connection reads Connected. Only answers given through the campaign use its destinations.
Answers given while a connection needs attention, before you chose the sheet, or while the switch was off are not sent later. Export them from the survey's Responses instead.
Good to know
- Is an answer deleted in Polzy removed from the sheet? No. A row, once written, stays as it was: delete it in the sheet as well.
- Are unfinished answers sent? No. Only finished answers are, once each. A delivery that fails is tried three times in all.
- How do I know it still works? Polzy tests the connection every six hours. If it stops working, the connection shows Needs attention and Admins are told.
- Can a survey answered outside a campaign write to a sheet? Only answers that come through a campaign use the campaign's destinations.
