Send answers to a Notion database

Create a page in a Notion database for every answer a campaign receives, or from a workflow step. Connect Notion once with a token, share the database, then choose it per campaign.

With Notion connected, every answer a campaign receives becomes a page in a Notion database you choose: the survey's title as the page title, and the answers in the properties you have set up or in the page itself. A workflow can create pages too. At the end of this guide you will have Notion connected to your workspace, a database shared with it, and a campaign filling it.

Notion is on Business. Only Admins can connect it and choose where a campaign's answers go.

Before you start

You need:

  • A workspace on Business, and the Admin role in it.
  • Integrations switched on for the workspace, under Settings → General → What this workspace does.
  • To be a Workspace Owner in Notion, or someone who is: only they can create the connection Polzy uses.
  • The Notion database the answers should go to. Add the properties described under What each page contains before the first answer, so they fill from the start.

Create a connection in Notion

Polzy reaches Notion through an internal connection of your Notion workspace — what Polzy's form calls an internal integration — and its token.

  1. In Notion's developer portal, create a new internal connection for your workspace and name it Polzy.
  2. In its Configuration tab, allow it to read and insert content.
  3. Copy its token from the same tab. It usually starts with ntn_.
  4. Share the database with it: in Notion, open the database, choose the ••• menu at the top right, then Connections, and add your Polzy connection. Sharing a page also shares every page and database inside it.

Notion explains each step in Notion: Internal connections, and sharing in Notion: Add & manage connections in Notion.

A new connection can see nothing until a page or database is shared with it. This is the step most often missed.

Connect Notion to Polzy

  1. In the sidebar, under Automate, open Integrations and choose the Available tab.
  2. Find Notion and choose Connect.
  3. Paste the token into Internal integration token.
  4. Choose Test connection. Polzy answers Connected to Notion.
  5. Choose Connect.
Connecting Notion takes one value: the connection's token.

The token is stored encrypted. Polzy checks it again as you connect, so a wrong token never produces a connection that claims to work.

Choose a campaign's database

  1. Open Campaigns, then the campaign, and its Integrations tab.
  2. Under Add a connection, find Notion and choose Connect. If the button reads Set up, Notion is not connected to the workspace yet.
  3. Under Database, choose the database. Only databases shared with your Notion connection are listed. If none is, the list is a box where you can paste a database's ID.
  4. Choose Save changes.
A campaign's destination: one of the databases shared with the connection.

Notion then appears under Connected to this campaign, with the switch that pauses it, Edit configuration to choose another database, Disconnect, and how many answers were sent. Each campaign chooses its own database.

A campaign's Integrations tab: what each answer is sent to, and what could be added.

What each page contains

Polzy fills only properties your database already has, matched by their exact name and kind:

Property in your databaseWhat Polzy writes
The title property, whatever it is calledThe survey's title.
Response ID, a Text propertyThe answer's ID in Polzy. Not filled for an anonymous answer.
Submitted, a Date propertyWhen the answer was finished. For an anonymous answer, the day alone.
Email, an Email or Text propertyThe respondent's email address. Not filled for an anonymous answer.
Score, a Number propertyThe overall score, if it was worked out by the time the page was made.
A Text property named exactly like a questionThe answer to that question.
Anything elseEvery answer with no property of its own goes into the page itself, one line per question, up to 2,000 characters.
Two answers as pages: the title, the properties Polzy looks for, and a question's own.
  • Nothing is guessed. A property with another name or kind is left alone, so a column you add for your own notes is safe.
  • Changes are picked up within five minutes. Polzy reads the database's properties at most every five minutes, to stay within Notion's limit of three requests a second.
  • The page is the answer. Pages are created, never changed: editing them in Notion changes nothing in Polzy.

Anonymous answers and privacy

An anonymous answer becomes a page with what it said, its score and the day it was given — no ID, no email address, no time of day and none of the person's fields. Polzy waits for each answer's safety reading, up to 10 minutes, before it sends it; an answer withheld for safety review arrives as its placeholder. The privacy floor applies to grouped results, not to single answers, so every answer becomes a page however few there are. Decide who in Notion can open the database with that in mind.

Create a page from a workflow

  1. Open Workflows and the workflow, or start a new one.
  2. Under Connectors in Installed steps, drag Create a page · Notion onto the canvas.
  3. Choose the database under Database ID — the list shows the databases shared with the connection.
  4. Fill in Page title and, if you like, Body. Type {{ to insert values from the run, such as the survey's title or what someone wrote.
The Create a page step: the database, the page's title, and its body.

The step writes the title into the database's title property and the body as a paragraph on the page. It leaves the page's ID as {{connector.pageId}} and its address as {{connector.url}}, so a later step — a Slack post, say — can link to it.

Test it

  1. Under Integrations, open Notion, choose Configure, then Test connection.
  2. Answer the campaign's survey, or wait for its first answer. The page appears within a minute or so — up to 10 minutes when free text is still being read for safety.
  3. Notion's own page in Polzy lists each delivery under Activity, with Worked or Failed and Notion's words.
The connector's page: its status, the last seven days, and every delivery.

Troubleshooting

  • API token is invalid. The token was copied incompletely, or it was refreshed or deleted in Notion. Copy it again from the connection's Configuration tab.
  • The Database list is empty, or a plain box. No database is shared with the connection. Share it in Notion: ••• → Connections.
  • Could not find database with ID (under Activity). The database was deleted, or is no longer shared with the connection. Share it again: the next answers arrive; the failed ones are not sent again.
  • Needs attention, with Access was withdrawn at the provider. Notion refused the token, or the connection is not allowed to read or insert content. Check its capabilities in its Configuration tab in Notion, then choose Reconnect on Notion's row under Integrations, paste a valid token, and Save.
  • Notion is not connected for this workspace (under Activity). The campaign has no database chosen. Choose one with Edit configuration.
  • An answer lands in the page instead of a property. No Text property has exactly the question's title. Rename the property, or the question — the change counts from the next answer.
  • Response ID or Score stays empty. The property must have exactly that name and the kind in the table above. Score is also empty when scoring finished after the page was made.

Answers given while a connection needs attention, before you chose the database, or while the switch was off are not sent later. Export them from the survey's Responses instead.

Good to know

  • Does deleting an answer in Polzy delete the page? No. Delete the page in Notion as well.
  • Are unfinished answers sent? No. Only finished answers are, once each; a delivery that fails is tried three times in all.
  • Who can see the pages? Everyone with access to the database in Notion. Polzy's own roles do not reach into Notion.
  • How do I stop? Use the campaign's switch or Disconnect for one campaign. For the workspace, open Notion under Integrations, choose Configure, then Disconnect or Remove. In Notion, removing the connection from the database stops Polzy at once.
